2.       Minutes of Previous Meeting

Minutes of the meeting of 19/2/03  were accepted as a true and accurate record by AK.

3.       Matters Arising

Child Protection Policy

This has been submitted to the District Council as required and was also briefly discussed at the recent Junior Volleyball meeting.  PMcP recommended that the Policy and Procedures document, along with other relevant information relating to child protection issues should be presented to those working or potentially working with junior players before the start of the new season.  This was agreed.

ACTION: PMcP to organise a child protection workshop for ADDVA.

Council Facility Access

PMcP confirmed that two courts at the Lynch Sports Centre have been allocated to ADDVA from Sept. 2004.  It is intended that this facility will be used for junior development work, but may also be accessed for a pre-season event;  district league matches and player improvement courses.

District Cup Competition:

The Inter-District Cup competition was held at Dundee University on March 20th. Five teams participated and competition was good natured and close, with Inverness ultimately winning the event.  BT reported that he had submitted comments to the SVA about organisation of the event for future years, with the proposal that the SVA take on what could be an excellent showcase for district volleyball.  PMcP thanked BT on ADDVA’s behalf for organising the event.

        Easter Junior Development Camp

PMcP reported that a junior development camp had been held at Dundee University on 3rd and 4th April and twelve juniors attended.  Despite the limited numbers the camp had been a success and a total of twenty eight people took part in the family session in the last hour of the camp.

City Beach Volleyball

PMcP reported that the application to the City Council for a £500 grant for a City Centre Beach Volleyball Tournament as part of the Summer in the City festival in July had been unsuccessful.  Consequently the proposal to hold a beach volleyball event in City Square, accommodating Elite, Schools and Works events, was not going ahead.

4 v 4 Tournament

28 people attended the 4 v 4 tournament organised by the Association on 25 April.  Although the numbers were lower than anticipated, the event was well-received and successful.

        2.   Correspondence

ADDVA have received an invitation to participate in the Lord Provost’s Parade through the city centre on June 19. The invitation was not accepted.

4.       Treasurer’s Report

JS reported that the Association continues to have a healthy balance.  Accounts will be presented in full at the AGM.  

5.       District League 2003/2004

5.1 A number of issues were discussed in relation to the operation of this season’s district league.  BM reported that facility availability (or lack of) had made his job very difficult.  Also highlighted was the difficulty in receiving the appropriate, completed registration details from clubs at the start of the season.  It was agreed that for 2004/05 registration will be £20.00 per team, with a £10.00 refund for those teams registering by the due date.

5.2 BM highlighted communication as an issue with teams.  The failure of some teams to appear at fixtures, without any advance notice to opposition caused considerable inconvenience and incurred additional costs to both the opposition and the association.  In future, teams not appearing for a fixture where payment is due to the facility, will be due to pay their portion of the fee.

5.3 The poor quality of score sheet completion was recognised as a continual problem.  Players details, scores and referees details are not being entered onto the scoresheets, making the league secretary’s job very difficult.  The need for education of teams in this respect was recognised.  As such, it is proposed to host a pre-season workshop for teams to cover score sheet administration.  This might be done as part of an officiating course.

ACTION:  A pre-season officiating course to be organised.  

6.       Annual General Meeting

6.1 Saturday 5th June was agreed as the date for the Annual General Meeting.  The event will include a 4 v 4 tournament, which will run from 1.30pm – 4.30pm.  There will be a break, as normal, at 3.00pm for the AGM to take place, ensuring maximum attendance from players.  There will be a cheese and wine from 4.30 – 5.30pm followed by sandwiches at Tally Ho pub.

6.2 After some debate it was agreed that there would be no cost for the afternoon for registered players, but a £3.00 charge those who are not registered.  With the afternoon costing approx. £200.00 for the Association, it was agreed to ask those present if, in future, they would be willing to pay some charge towards the overall cost of the event.

6.3 For a variety of reasons a number of the committee intimated that they would not be standing for re-election to the committee.  This included Christine Farqhuhar, Lindsay Whytock and Dianne Morland.  PMcP thanked these individuals on behalf of ADDVA for their contribution to the committee over the past season. 

6.4 Those holding the offices of Chairperson (PMcPate), Treasurer (Julie Smyth) and League Organiser (Barry Millar) all intimated that they were happy to remain in post for another season.  Additional nominations will be invited for these posts and if none are received then the current post holders will remain.

6.5 The Chaiman’s and League Organiser’s reports will be circulated in advance of the AGM, week beginning May 31st.

ACTION: PMcP and BM to prepare reports for circulation in advance of AGM .

6. Newsletter

BT reported that he intends producing the final newsletter of the season for distribution at the AGM.  However this will be a tight time scale in which to get the work completed. A page on junior volleyball and articles on the success of Dundee Ladies and an overview of the Perth Open activity will make up the content.

ACTION: BT to prepare newsletter for distribution at the AGM on June 5th.

        7. Beach Tournament

PMcP raised the possibility of hosting a Beach Volleyball Tournament at Broughty Ferry beach during the summer. This proposal was received enthusiastically and a date some time at the end of June was proposed.

ACTION: PMcP to investigate possible dates for an event at Broughty Ferry beach.
