Starting your first Database

work in the 'Patients' window

remember - Registered users may need to run their Registration module again if they delete all records, and are importing more than 50 records

after playing around with the trial records u will want to create your own database; if u want to start afresh, follow the instructions below and delete ALL, but only do this if you're sure u have no patient records u want to keep or accounts files dependant on those patient numbers - if u want to save some records you've already created u must first isolate and save them...

1/ mark those records u want to save - individually by, for example giving them a unique tag:

type 'zebra' in the 'further notes' field of each record u want to mark and save

then 2/ click 'find' and type 'zebra' in the 'further notes' field, and click 'find' again and u will have a found set of the records u want to keep. (check that u have all the records u want then)

3/ choose 'export records' from 'File' (top Menu - left), and export your set to save ( choose tab - see importing & exporting for more info if u need to) (give the file a unique name - 'zebra', for example)

4/ repeat this proceedure for the accounts file if u need to save associated accounts; if u have only a few accounts records under 50 for example, it's probably easier to save all of them and delete the ones u don't need later on - click the accounts button (from the 'patient' view - accounts button in the centre) and choose 'export records' from 'File' (top Menu - left), and export your set to save ( choose tab - see importing & exporting for more info if u need to) (give the file a unique name - 'bat', for example)

 

and then u can delete all the records as below......


A/ To delete all records and accounts

click (in Reception mode -Click 'Menu' then the orange 'Patients' button, then

choose 'New Database - Danger' from the 'Rhubarb' menu (at the top)

only do this if you're sure u have no patient records u want to keep or accounts files dependant on those patient numbers (see above)


B/ now u can start your new database....

u should have 1 new record which u can fill in, and any new records created will automatically have consecutive patient numbers, if u click the new record button..

that's it, you're done!! unless..

 

C/ u now want to import your saved set - 'zebra' (and 'bat' -if applicable)

1/ you must first delete this 1 new record by clicking the delete record button (mid right of 'new record' button, to delete the one and only record that was created after clicking 'New Database - Danger' from the Rhubarb menu (at the top)

2/ choose 'Import Records' from File (top Menu - left) - Choose your saved zebra file and follow the instructions

3/ ALWAYS after importing, to ensure that new record numbers are not going to clash with existing numbers, - choose 'new next record number' from the Rhubarb menu (at the top) or the small pink asterisked button at the top right of patient no. (to the right of 'Reset' below Exit) and all subsequent new records will have a patient number incremented by 1 from the last record number imported

4/ import the saved accounts set if applicable; click the accounts button (from the 'patient' view - accounts button) and choose 'Import Records' from 'File' (top Menu - left), and import your 'bat' set, go thro them deleting the ones u don't want, ie/ the blank ones and then press the Reset button at the top to resync the accounts. go back to patients and you're done!


to backup all files - simply copy the whole crystalsolutions folder to a new folder giving it a date and new name

using copy or duplicate command from your PC or Mac desktop
