FYCA Calendar Planning Process
The FYCA schedule for setting and publishing the calendar is as follows:
1. FYCA Autumn Delegates Meeting (17 months ahead of season)
Calendar input sheet with tidal data for Leith (GMT & metres based
on the Autotide software) for weekends from April to December is distributed
to all clubs. Columns are provided for 1st, 2nd & 3rd choice dates
for each club open event.
2. FYCA Spring Delegates Meeting (13 months ahead of season)
Initial inputs from clubs are reviewed at the meeting and any potential
date conflicts are highlighted and, if possible, resolved. It is FYCA
policy that dates agreed at this meeting are considered as fixed and
can only be changed with the agreement of the club(s) involved. This
allows clubs negotiating with sponsors or classes to offer a firm
date more than a year ahead.
3. FYCA Draft Calendar Distribution (12 months ahead of season)
Draft
Issue A, including any alternative dates, is sent out to all clubs
after the Spring Delegates meeting and published on the FYCA Internet
web site at: www.fyca.org.uk. Later editions are published as issue
B, C, etc.
4. FYCA September Fixtures Meeting (7 months ahead of season)
Latest
draft calendar is sent out to all clubs with notice of meeting. Decisions
on alternative dates are finalised at this meeting.
5. FYCA Agreed Calendar Distribution (6 months ahead of season)
Issue
1 of the calendar is sent out to all clubs after the Fixtures Meeting
and published on the Internet. Copies are also sent to TYCA, CYCA,
RYA(S) and local non-FYCA clubs. Further changes are published as
issue 2, 3, etc. on the FYCA web site.
6. FYCA Open Events Poster (Start of season)
An
A3 colour poster with details of all FYCA open events, FYCA trophies
and up to date club contacts is sent out to all FYCA clubs and local
non-FYCA clubs to maximise publicity.
