Below is a copy of the letter sent out to all members on 12th July 1999.

Des

Thank you very much for coming to our cricket, rounders and BBQ day on the 4th July and making it really happy and fun day, especially as we won the game against Cambridge. Knives are out and they have invited us for revenge I mean return game on the 15th August in Cambridge, I hope you can all make it, for details please get in touch with Yogesh Makwana, Jayman Mistry or myself. As we do not have the details on the venue please ask us or e-mail us so we can let you know.

The best moment for me was when boys from the Cambridge team said to us that " you guys know how to enjoy life and you look after us ever so well". All I can say is that thanks to you, especially to all the ladies who again did us proud with food, preparation and service. I would also like to thank everyone who helped to make it an enjoyable event but my special thanks to Jayanti who looked after the BBQ all day long.

I know from the feedback I have that you would like to repeat this type of event on regular basis, this has been taken on board.

Now to other matters, Funday on 25th July, at Hinchinbrooke Park from 2.00P.M onwards. We have arranged an afternoon of fun, games, picnics, etc, etc. THERE WILL NO CHARGE for this event, as we will incur no costs. We are asking people to bring their own picnics, BBQ (if you want), Drinks etc. Please come in trainers and loose clothing as we have some games lined up, eg, kabbadi, gilli danda, langdi, egg-spoon race, three legged race, and more. If anyone has any ideas on other games or any fund raising ideas then please let us know. BE PREPARED TO PARTICIPATE.

7th August Ten Pin Bowling only handful of places are available please let us know by the 16th July, no-one will be added afterwards.

We are now going to start work on the member's directory, anyone that has yet to pay the membership fee, can you please do so quickly as once the work has started we can not include any members afterwards.

Once again thank you very much for your support we do appreciate it. Do not forget if we do not get and work together what will become of our children?

Below is a copy of the letter sent out to all members on 9thth May 1999.

ear Members,

Further to my last letter of 4th April, I am writing to you again to bring you up to date. Enclosed with this letter you will find revised Forthcoming Events list (please put it on fridge and diaries etc.) and an application form for 10 pin bowling, please note that as of today only 23 spaces are now left (maximum 50).

We have held couple of committee meetings to discuss various points raised at the AGM. Following the meetings, we have made contacts with local and education authorities for funding education and religious events. So far we have had very positive response from them and in the next letter I am hoping to report positive outcome.

I would like to thank everyone, who turned up for our first social evening on the 29th May, I would also like to thank everyone who helped. I was slightly disappointed by lack of turnout by some of the new members and potential members. There was a question of admission charge of £5 per adult being high, I would like to take this opportunity to justify the charge: -

      1. The admission price was for adults only i.e. children were free

      2. The admission fee covered the cost of hall hire, question packs, drinks (alcoholic and soft drink), cups, plates etc.

      3. Quiz entry for all.

      4. Entertainment including music, lights etc.

I am sure if you analyse the cost, the £5, was very low, if it were a commercial event it would have been 2 to 3 times that. However, people who did attend praised the event and agreed that the price charged was good value for money. All we need to do is persuade the doubters to come and spend an evening with us.

Anyway onto next event which is to be held on 4th July at Hinchinbrooke Park, from 1pm onwards consisting of Cricket vs. Cambridge (ICA), rounders and games for the children as well as the BBQ.  This event in the past has been a great success and helps cementing relations with neighbouring organisations. This event relies heavily on the community spirit and I am sure that everyone will contribute, as with all our events the venue, soft drinks, atmosphere and entertainment will be provided for cost of £3.00 per adult. All that we ask from you is to bring food, list is being made by Harsha Patel (01487 840201) who will co-ordinate who should bring what, so we can have wider variety of food. If anyone wishing to bring alcoholic drinks, they are welcome to do so. There will be separate BBQ for vegetarian and non-vegetarian as usual. Anyone wishing to take part in the games please contact me on 01354 693237.

I look forward to seeing you at the function.

To fellow Indians

Dear Fellow Indians

As some of you may know a meeting was held on 28th March 1999 to decide the fate of Huntingdon Hindu Samaj. You can see from the above that it was decided that the Samaj should be dissolved and a replacement association should be set up, hence Indian Association (Huntingdon) was formed.

On behalf of the new committee we would like to thank all previous committee members and trustees for their work and hope that they will continue to support the Association. A new committee was chosen and mandate was given by all present that the committee should encourage and actively seek new members from all faiths for better integration.

At the same meeting various other items were discussed. A brief synopsis of what was agreed and voted in by majority of present is listed below.

  • Bi-Monthly Social events should be held. Some suggestions were made, for example, quiz night, fun day(BBQ), games, fireworks, drama, dance, competition but all these activities should bear in mind children.
  • Religious functions should be kept at minimum and Navratri and Junmastmi were only selected. Bearing in mind that there would be members of other faiths joining us we should look at their faiths and their celebrations and where viable hold these functions as well.
  • Membership fees. It was decided that a membership fee should be set at £10 pa for every adult (18-65) and a concessionary rate for OAP and students (over 18) in full time education should be set at £5 pa. A non paid member will not be allowed to vote at any meetings and where applicable, either  a higher or an entrance fee to the function will be charged.
  • Education classes to be held and fees payable by term.
  • Social evening entertainment should also include participation from adults as well as children.
  • Better and effective communication network should be set up. It was suggested that following should take place:-
    • There should be as much notice as possible given to any events
    • There should be further newsletters to let members know what is happening
    • The members should contact committee member to find out latest news/information
    • The members should return any questionnaires or feedback forms as soon as possible
    • There should be two way communication
  • Entrance fee for social evening should be set at £5 per adult (18+) to cover costs of hall hire and drinks.
  • Reduction in fees for members buying tickets in advance to a function, for example Dinner Dance
  • New directory of members should be printed
  • Members will also help promote the Association and to recruit new members.

As you can see from above lots of items were discussed, after the meeting the executive committee held a meeting and the following decisions were taken in response.

  • Along with this letter you will find all the dates for the next 8 months, however not all venues have been confirmed so please keep an eye out for further letters and don't forget to ring us for latest information (two –way conversation!). Please return enclosed form as soon as…
  • We have gone electronic please visit our web-site and use e-mail to contact us. We are also asking for your e-mail address so we can send out any news as well.
  • Weekly Educational classes are to start from 18th April at HYC (Huntingdon Youth Centre) from 1.00 to 3.00 fees will be discussed at the first lesson. Class will comprise of activities (getting ready for first social evening, where children will put on some kind of play etc.), musical classes, language class, games etc. More information can be obtained from Arunaben Patel.
  • Dinner Dance this year is to either be held back to celebrate new millennium in conjunction with other samajs in the area or called Millennium Dinner Dance. Date, venue etc. to be confirmed later.
  • Directory of membership, we will start working on this later in the year when details of members are known.
  • We will now require a new logo so any budding artists want to have a go? A prize will be awarded to the winning entry.

Please find enclosed an application form for membership along with a feedback form, which should be returned as quickly as possible. We will need teams for the quiz night consisting of 2 adults and 2 children (not from the same family), we will need either 6 or 8 teams, so please start forming teams and let any of the education team know. There will be semi-finals and a final with the winning team being presented with a prize.

Your new committee, title and contact numbers including e-mail addresses are listed on Contact page

I, along with my fellow committee members, look forward to your support in making Indian Association (Huntingdon) a success. Only your participation can ensure this.

Hitesh Patel

Chairman
